In a company, information comes from all directions: customers, suppliers, colleagues, partners, and field reports. Those who process it quickly make better decisions and respond faster. Those who get bogged down in emails, meetings, and documents waste time and miss opportunities.
An AI assistant integrated into the company’s work tools can take over some of this work: preparing meetings, transcribing calls, summarizing long discussions, and drafting responses. In this article, we’ll look at specific use cases and why it matters where the assistant runs.
In a nutshell
- An AI assistant can save you time every day on meetings, emails, notes, and responses to customers.
- Company documents (quotes, contracts, prices, customer data) should not be copied into public AI tools.
- A locally running application on the company's platform processes this data without sending it to third parties.
6 Practical Applications in Businesses
1. Preparing for Meetings
Before a meeting, the assistant can gather and summarize the relevant documents: the latest proposal sent to the client, notes from the previous meeting, and recent email exchanges. Participants arrive prepared, and the meeting takes less time.
2. Transcription of calls and meetings
Video calls or audio recordings can be transcribed automatically. The assistant extracts the decisions made and the tasks assigned from the transcript. No one has to take minutes by hand anymore, and anyone who was absent can quickly find out what was decided.
3. Summary of Long Conversations
Email threads with dozens of messages or team chat discussions can be condensed into a summary: what was decided, what’s in progress, and what’s still pending. Nextcloud, for example, offers email summaries and a bot that summarizes discussions in Talk.
4. Draft responses to customers
For frequently asked customer questions, the assistant can draft a response based on company documents: technical data sheets, terms and conditions, and previous responses. The employee reviews, customizes, and sends the response.
5. Saved and Shared Notes
Field notes—whether from client visits or trade shows—can be automatically rewritten and organized, then shared with the team in the same place as the rest of the documents. Information no longer remains in just one person’s notebook.
6. Questions about the company's documents
„What delivery date did we promise to Customer X?” „What does the contract with Supplier Y say about penalties?” An assistant connected to the company’s documents can answer such questions while respecting each employee’s access rights.

Why not the public ChatGPT?
Public AI tools are very good, but a company needs to ask itself what data it is sending to them. Quotes, negotiated prices, customer data, and contracts are confidential information. When an employee copies them into a public AI service:
- The data may be transferred to servers outside the European Union, and the company must justify this transfer in accordance with the GDPR;
- Depending on the terms of service, conversations may be retained or used to improve the models;
- The company no longer keeps a clear record of the information that has left the company.
An AI assistant that runs locally on the company's platform solves these problems: the data remains on controlled servers, access is granted through company accounts, and the assistant can only view documents to which the user already has access.
In-house assistant or customer chatbot?
These are two different things that complement each other:
- Internal Assistant (This article) helps employees work more efficiently with company documents, emails, and meetings.
- The chatbot on the website responds to visitors and customers 24/7, based on the company's content. I wrote about its costs in the guide How much does an AI chatbot for a website cost?, and you can find more details on the page Intel Logic AI Chatbot.
Example: A Day at Work with the Assistant
A sales manager starts the day with a summary of the emails received overnight, grouped by client. Before the 10 a.m. meeting, he asks his assistant for a summary of the latest discussions with that client and the proposal that was sent. The video call is transcribed, and after the call, he receives the list of agreed-upon tasks, which he forwards to his teammates. In the afternoon, for three similar requests for proposals, he starts with drafts prepared by his assistant based on the company’s technical specifications and terms and conditions, then customizes them.
None of these steps replaces a manager’s judgment. However, each one saves them a few minutes of reading, searching, or writing from scratch, and by the end of the week, those minutes add up to hours.
5 Questions to Ask Your Supplier
- Where does the AI model run? On servers in Romania, in the EU, or outside the EU?
- Is this the data used for training? The correct answer for a company is „no.”.
- Who has access to conversations and documents? The assistant must comply with existing access rights.
- What happens to the data when the contract ends? You must be able to export them and have them deleted by the provider.
- Is there a data processing agreement? The GDPR requires this (Article 28) when the service provider processes personal data on behalf of the company.
How to turn it on
- Identify where time is being wasted. Long meetings, emails, reports, repetitive responses to customers.
- Choose a pilot team, for example, sales or customer support.
- Set some simple rules: What is checked before submission, and what data should not be entered into the AI.
- Check after a few weeks and extend it to the rest of the teams.
Frequently Asked Questions
How much time is saved?
It depends on the type of work. The greatest returns come from roles where people read, summarize, and write a lot: management, sales, support, and procurement. A pilot program lasting a few weeks will show the actual results for your company.
Do I need my own server?
No. The platform and the AI assistant can run on Romleas' servers in Oradea; employees access them via a browser, on their desktops, or through mobile apps.
Can I keep the programs I'm already using?
Yes. Nextcloud can be implemented gradually and can work alongside other systems, such as existing email accounts.
Where is the data stored?
At Romleas, on servers in Oradea, Romania. The data is not transferred outside the country and is not used to train other models.
Conclusion
An in-house AI assistant doesn't replace people; rather, it relieves them of repetitive tasks: notes, summaries, transcripts, and drafts. Teams stay up to date with less effort, and the company retains control over its data.
